Heartwood aspires to create a learning environment that instills a sense of grace and dignity to the yoga experience and one which honors and celebrates personal growth, diversity, and respect for the learning process. As a small and intimate retreat facility, it is important students understand our expectations and processes to be sure our policies are in alignment with their beliefs about education, yoga and working harmoniously and respectfully with others.
Rules for Student Conduct
Academic Performance Requirements
To receive certification, students must attend 100% of the residency program hours as per the program description and complete all homework assigned. All quizzes or tests must be passed with 90% or higher. Students can retake any test necessary if they fail to meet this criteria. The school also has a policy that students are invited to retake any course or residency free of charge (other than a fee for the meal plan, housing or materials if applicable) in cases where they need reinforcement of the material or retraining in order to feel competent, confident or ready to work in that area of expertise. We do our best to recognize that each individual has their own learning style, degree of experience and learning readiness, and as such, Heartwood provides ample opportunity for all students to continue their studies until they fully absorb the material. In the end, it is the student's responsibility to be fully present, to put ego aside, and take advantage of our policy to retake a course if necessary to integrate and comprehend the material so as to successfully be able to apply the knowledge as a teacher and a yogi.

Student Grievance Procedures
Students are asked to first put their complaint into writing and send it to contactheartwoodyoga@gmail.com so we can respectfully address the issue. Students are also invited to set an appointment with the school director to discuss any issues or complaints in person. In cases where the student may have an issue with the director, he or she may set up an appointment with any of the key staff as well. All issues will be considered respectfully and if appropriate, addressed with all Heartwood staff involved.
Anti-retaliation Policy
We will not retaliate against any person for having reported or threatened to report harassment, discrimination, retaliation, or violations of our Code of Conduct or polices, or for participating in an investigation into any of the foregoing. Anyone who retaliates against a person will be subjected to disciplinary action, up to and including termination. We encourage any person — including employees, non-employees, and students — who believe they have been subject to retaliation to inform a supervisor or manager. We have a zero-tolerance policy for sexual harassment or sexual misconduct. We encourage anyone who has been subject to this behavior to report it to the human resources department or school management. We will do everything possible to ensure that you are not retaliated against by anyone because you have reported misconduct.
Anti-Harassment
We do not permit managers, employees, teachers, independent contractors, students, or others in the workplace to harass any other person because of age, gender (including pregnancy), race, ethnicity, culture, national origin, religion, sexual orientation, disability, socioeconomic status, genetic information, or any other basis proscribed by law.
Student Disciplinary Procedures
Students who do not adhere to our conduct or attendance policy will first be addressed in a private meeting with the director. If attendance does not improve, the student will be advised to discontinue the session and return when they are ready and able to be fully present. If behavior is an issue and does not improve despite attempts to correct the situation, the student will be dismissed from the program without refund.
Student Degree Plan
Students enrolled in any program that is not completed in one residency visit must work with the director to create a degree plan and formally enroll in the modules or Yoga therapy concentrations to hold space in the program. While we do our best to accommodate the needs of all students, Heartwood does charge a small fee for dorm housing and offers a limited amount for convenience, so we do not guarantee housing or space in any and all future programs. This is why it is imperative you enroll formally and early if you wish to participate or reserve housing. Once enrolled, the student will be expected to attend or provide at least 7 days notice of withdrawal if they do not plan to attend the session. If we hold space and we are not provided with ample notice that the space is available for others, the student may have to pay to retake that unit at a later date. Programs without at least three students enrolled may be subject to cancellation or rescheduling. When or if Heartwood cancels a class or session, students have the option of receiving a refund or applying their tuition to the next offering.

We value and recognize that each student is important to the learning collective. Each individual contributes something special to the experience and we offer this famous essay for inspiration and to clarify our attitudes and expectations regarding how we can work together to creative a positive, progressive, deeply meaningful learning environment. It takes awhile to read, but is ultimately valuable not only in your role as a student, but in your future role as a teacher.
Heartwood Yoga Institute is a small, private facility, but we strive to offer the highest level of training at a remarkable facility for the lowest price possible so that the powerful transformation that is result of yoga training is possible for all. With the highest credentialed teachers, a state of the art retreat facility and an open door policy that invites students back to revisit training courses without charge, you can't beat the value. We charge what we must, not what we can, but in order to provide all this at an affordable price, we have to keep the integrity of the program intact by defined policies.
Tuition
Tuition paid for all workshops or yoga teacher training are non refundable and non- transferable to another student or to any alternate class or program.
If you have paid for a workshop or weekend course and you can not attend, you are welcome to participate in the next offering of the same subject provided you give us ample notice that you will be missing the session. (48 hour notice for a 1-3 day session or one week notice in the case of immersion or residency programs) Please call and leave a message AND send an e-mail to the "contact us" button to be sure your notice has been received. Without proper notice that we can verify, you will be forfeiting your tuition.
Heartwood does not issue refunds for any monies paid, except in cases where Heartwood cancels a scheduled program, in which case refunds will be issued. If you do not attend the program you signed up for, your payment for training programs remains on your account for up to 1 year. Students may change their enrollment start date one time. We cannot accommodate those who shift schedules or change their mind more than once but because of the limited space available. Please note that when a student take one of our limited spots and then doesn't participate, we cannot continue to offer our small and intimate programs efficiently and cost effectively to keep tuition reasonable with all we include.
If you drop out of a program prior to completion, there is a re-enrollment fee of $300 to begin in another session. Dropping out is not the same as being invited to take reinforcement training. If you complete a program yet want reinforcement training and need to retake any or all of the training a second time, you are welcome to join us again. Please note, you may be charged a tuition fee for in-person trainings and we do not include housing and food, which can be paid for separately. If students want a new manual, they will be required to purchase one. All students who complete our programs have unlimited access to the online coursework for that program, which is available free of charge for reinforcement of the material offered to them during their training.
Lowest Tuition: The lowest price for tuition can be had by registering early and paying in full. You can do this by paying your tuition with a bank draft or check, credit card, or through PayPal financing, in which case you have 6 months interest free to pay the balance, after which you are subject to whatever finance fee PayPal credit offers.
Heartwood Financing : Heartwood does offer a convenient payment plan for RYS programs or Yoga Therapy tuition. This requires a deposit (usually $600) and the remainder of tuition owed is divided into equal monthly installments. There is a finance fee applied to the tuition payment plan (dependent upon the term selected) which may have a higher finance fee than other credit choices, so please consider all options available to you. To set up a payment plan, please register by paying a deposit and notify us that you will be setting up payments. You must have a credit card on file. You will be asked to pick your term and then monthly payment will be processed on the 1st of the month. The first month payment is due when you begin the training (so budget for the deposit and one month to start the program.)
Attendance (RYT-200)
Because most of our programs are designed as a linear course and the information unfolds progressively while students connect and bond, it is important to make every attempt to stick with one course from start to finish and not miss sessions. In cases where life gets in the way and a student misses material, the students is expected to make the time up in one of our alternate programs. If a student misses more than 50 hours of training in a 200 hour program), we will suggest they take the full program again. Also please realize some portions of the program can not be missed or made up privately or with alternate work, and in these cases, the student must attend that portion of training in person the next time it is offered before receiving their certification. As a sanctioned Yoga Alliance program, all students must put in the time and effort to participate in all assigned hours of training and no exceptions will be made under any circumstances before issuing a certification.
Attendance (RYT-300 or Yoga Therapy)
Students must make up any and all time missed from these programs by attending the same course in another session in person.

Yoga training teaches us personal discipline and that begins with students embracing the fact that they must show up, fulfill expectations, and understand that one's spiritual evolution can not be bought with a tuition payment nor can you be authentic if you are trying to cut corners. Growth happens only when we do the personal work, dive in with passion and embrace the process at whatever pace is required to get results. With our flexible options, generosity of extra time offered, and our sincere attempts to make yoga training available and workable for everyone, completing any course at Heartwood should not only be possible but a refreshing, joyful experience for everyone!

We are registered with Paypal, which gives students 6 months interest free to pay the balance, after which they are subject to whatever finance fee PayPal credit offers . (You apply directly with them, and request the tuition amount required for whatever program you are attending. ) When using PayPal Credit, please notify us of which program you are registering for to be sure we have a correct record of your pending attendance. We will send you an invoice that you can pay with your PayPal credit.
For those without access to PayPal credit or other sources of credit, a convenient Heartwood payment plan is available for RYT or Yoga Therapy Programs. This requires a deposit (usually between $500.00 and $600.00) and the remainder of tuition is divided into equal installments payable on the 1st or 15th of the month with a credit card left on file. To set up a plan, please register and hold your spot in a program by paying a deposit and we will set up your payment plan at the beginning of your session.
We strive to keep our programs affordable and to provide finance options to make attending our yoga teacher training program a possibility for everyone. Depending on the program chosen, payments can be spread anywhere from 9 to 24 months to balance your budget. Paying for a program in full always assures the best price, and some people have low interest credit cards or cards that earn points making these payment arrangements the sensible option, but other students find the convenience of a finance arrangement is better for their circumstances, especially when they can choose the term and payment that best suits their budget and goals. Finance fees are applied, and vary depending on the term and program selected. Students can also choose to pay us through Paypal, and in this case, you may wish to apply for Paypal credit, which provides you with 6 months interest free for Heartwood tuition, after which agreed upon credit terms apply.
Choosing the finance option with Heartwood requires signing a financial contract and you must provide a credit or debit card for an automatic withdraw once a month. If you are setting this up, be sure you can meet your chosen repayment agreement. The contract is a formal agreement so failure to honor your arrangements will affect your credit rating. Please note the amount financed, the rate, the payment and the full cost of the loan are outlined below so you have all the information you need to make the best decision for your circumstances.
When choosing the finance option, you can pay for the program during and/or after participating, so you can start learning right away and be certified and qualified to teach upon graduation; however we cannot approve Yoga Alliance membership until the program is paid in full. Yoga Alliance does recognize the date you graduated rather than the date you register with the organization, so no time is lost on record by waiting until your financial obligation has been met with us to formally register with Yoga Alliance.
If you choose the payment plan and drop out of a program before completion, you are still required to pay the balance of tuition. You will be required to sign a financial contract when setting up your payment plan and place a credit or debit card on file for a monthly withdraw, charged on the first or fifteenth of the month. If you do not finish the program, you may re-enroll within one year, however remember that you must pay off your initial financial contract as per the original agreement regardless of your attendance. Note that we fill most every program, and we do our purchasing and hiring to meet the needs of each program depending on enrollment numbers, so when you take a spot we are turning away others or have already made our investment in supplies to provide a quality experience to the tribe. This is why we must enforce our tuition policy and why you are committed to paying the full tuition once you enroll in any program.
